ARCHYMEDE SELECTION FILTERS

The correct management of the digital archive



The correct management of the digital archive of the quotation may be useful for an effective time-saving and flawless search.

Some time after starting to use Archymede, the quotation database can become quite large and over the years it can  grow up to a point where thousands of on-line quotations are stored in it.

Archymede was designed to handle easily the selected quotation by using multiple search keys so that the user can enter a number of information in the designed fields regardless of the accuracy or completeness.

Through this approach, Archymede will select the desidered quotation or at least a number of quotations under the given search criteria.

The search keys are as follows:

(A) ID – The identification number assigned by Archymede automatically

(B) State – The system handles five quotation states:

- 001: In progress

- 002: Finished

- 003: Expired

- 004: Lost

- 005: Successful

C) Code – It is the quotation ID (i.e. 011.110080/01) consisting of four sets of numbers: first set identifies the user, the second identifies the year, the third is the quotation No, the fourth is the revision code (basic quotation No is 01)

(D) Type – At a further stage the quotation state ID consists in 7 options:

- RO1: standard quotation

- RO2: quotation with validation enquiry, PTM non exclusive

- RO3: quotation with validation enquiry, PTM exclusive

- RO4: Quotation acquired by PTM following the enquiry with validation non exclusive

- RO5: Quotation acquired by PTM following enquiry after validation with exclusive rights

- RO6: Validated quotation non exclusive

- RO7: Validated quotation exclusive

(E) Product – Four+One product lines are offered:

- P01: Machines

- PO2: Ventilation

- PO3: Filters

- PO4: Sampling devices

- PO5: Other

(F) Order – It defines the order ID can be managed according to specifics by each company

(G) Date – It defines the day of the quotation (by using the symbols “=”, “>”, “>=”, “<”, “<=”)

(H) Validity – It defines the day the quotation expires (by using the symbols “=”, “>”, “>=”, “<”, “<=”)

(I) Description – Entries related to free description can be made in this field.

(J) Customer – It defines the company name of the customer requesting the quotation

(K) Editor – Name of the editor of the quotation

(L) Priority – It defines the priority of the quotation (5 available levels)

One more help consists in the possibility to change the list order of the quotations. It is also possible to sort them in ascending or descending order by simply clicking on the labels of any of the columns.
